Brother Printer Not Accepting New Toner – How to Fix It

If your Brother printer is not accepting new toner, the problem is often due to installation issues, incorrect cartridge recognition, incompatible toner, or reset errors. Follow these steps to troubleshoot and fix the issue effectively.

Confirm Toner Cartridge Compatibility

  1. Make sure the new toner is compatible with your exact Brother printer model.
  2. Check the model number on the toner and ensure it matches your printer’s requirements.
  3. If using a third-party toner, note that some printers may reject non-genuine cartridges due to firmware restrictions.

Reinstall the Toner Cartridge Correctly

  1. Turn off the printer and unplug it.
  2. Open the front cover and carefully remove the toner and drum unit.
  3. Separate the toner cartridge from the drum unit by pressing the green or blue lock lever.
  4. Reinstall the toner firmly into the drum unit until it clicks into place.
  5. Insert the drum and toner assembly back into the printer and close the cover.
  6. Turn the printer back on and check if it recognizes the toner.

Reset the Toner Cartridge Manually

Some Brother printers require a manual reset after a new toner is installed, especially with third-party toner.

For Monochrome Models (e.g., HL-L2350DW, DCP-L2550DW):

  1. Open the front cover.
  2. Press and hold the “OK” button for 2–5 seconds.
  3. Select Reset for the toner (e.g., TNR-HC or TNR-STD), then press OK.
  4. Close the front cover.

For Color Models (e.g., HL-L3270CDW):

  1. Open the front cover.
  2. Press Back > Back > Back > Back quickly to enter the reset menu.
  3. Select the correct toner color and level (STD or HC), then press OK.
  4. Close the cover and wait for the printer to recalibrate.

Check for Toner Sensor Issues

  1. Remove the drum and toner unit again.
  2. Use a dry lint-free cloth to gently clean any visible sensor contacts on the toner and inside the printer.
  3. Check for protective covers or sealing tape on new toner-remove them completely.

Avoid Using Expired or Damaged Toner

  1. Do not install toner that is damaged, leaking, or expired.
  2. If the toner sat unused for a long time or was stored improperly, it may be unreadable by the printer.

Update or Avoid Firmware That Blocks Third-Party Toner

  1. Go to the Brother Support website and search for your printer model.
  2. If you use genuine toner, update to the latest firmware to resolve recognition bugs.
  3. If you use compatible or remanufactured toner, avoid firmware updates as they may prevent use of third-party cartridges.

Perform a Power Cycle

  1. Turn off and unplug the printer for 30 seconds.
  2. Plug it back in, turn it on, and wait for it to initialize fully.
  3. Open and close the front cover to prompt the toner recognition sequence.

Replace with a Different Cartridge

  1. If all steps fail, the toner may be defective or improperly chipped.
  2. Try a different new cartridge-preferably a genuine Brother toner-to test if the issue persists.
  3. If the printer accepts the replacement, the original cartridge is likely faulty.

If your Brother printer still does not accept the new toner, contact Brother Support or consider servicing the printer if it is under warranty.
