Some HP printers may refuse to scan when ink cartridges are low, empty, or missing. While scanning should technically work independently of ink levels, certain printer models enforce restrictions. Here’s how to work around the issue.
Understand Your Printer’s Behavior
Check Model-Specific Restrictions
- Some HP All-in-One printers disable scanning if:
- One or more ink cartridges are missing or not recognized.
- Ink cartridges are completely empty, triggering an error state.
- The printer is in error mode (e.g., due to a non-original or incompatible cartridge).
Ink Level Alerts vs. Actual Ink Presence
- Even if the printer shows “low ink”, scanning usually still works.
- If it says “cartridge missing” or “cartridge error”, it may prevent any operations.
Possible Solutions
Acknowledge or Dismiss Ink Warnings
- Check the printer’s screen or HP Smart app.
- If prompted with an ink-related alert, look for a “Dismiss”, “Continue”, or “OK” option.
- After dismissing the warning, try scanning again.
Use HP Smart or HP Scan Software
- Sometimes scanning via the printer control panel may be blocked, but:
- Scanning via HP Smart, HP Scan, or Windows Fax and Scan may still function.
- Download HP Smart from support.hp.com or your app store.
Remove and Reinsert Cartridges
- Power off the printer.
- Carefully remove and reinsert the ink cartridges.
- Restart the printer and check if scanning becomes available.
Replace Faulty or Empty Cartridges (If Required)
- If the printer enters an unrecoverable error state due to cartridge issues, replacing the cartridges (even temporarily) might be necessary to enable scanning.
Use Alternative Scanning Options
HP Smart App on Mobile or PC
- Open HP Smart and select your printer.
- Choose “Scan” > “Scan from Scanner”.
- This method often bypasses firmware restrictions.
Use Windows Built-in Scanning
- Open Windows Fax and Scan or Scan app.
- Choose your HP device and try scanning even if the printer shows an error message.
Disable Cartridge Protection or Alerts (Where Possible)
In HP Printer Settings
- Access printer’s Embedded Web Server (EWS) by entering its IP in a browser.
- Go to Settings or Security > Cartridge Protection.
- Disable HP Cartridge Protection, if available.
- Save settings and reboot the printer.
Use Diagnostic or Service Mode (Advanced Users)
- Some printer models allow entering a service or diagnostic mode, where scanning can work regardless of ink.
- Not officially supported, and model-specific. Search by printer model with “service mode” or “scan without ink”.
HP’s design choices may limit scanning when ink is unavailable, especially on models with strict firmware. However, in many cases, using software-based tools like HP Smart or alternate scanning methods can bypass the restriction.
